Summer Honey Ltd – Terms and Conditions of Booking

1. Introduction

These Terms and Conditions govern all bookings made with Summer Honey Ltd (“we”, “us”, “our”). By booking a tour or travel service, you (“you”, “the customer”) agree to be bound by these Terms and Conditions.

2. Booking and Payment

A booking is confirmed only upon receipt of a deposit or full payment, as specified at the time of booking.
The balance must be paid by the due date stated on your invoice. Failure to do so may result in cancellation of your booking.
Payments can be made via bank transfer, credit/debit card, or other approved methods.

3. Pricing
All prices are quoted in GBP (£) and are subject to availability.
Prices may change due to currency fluctuations, fuel surcharges, or changes in supplier costs. We will notify you of any significant changes before final payment is due.

4. Group Travel Bookings
A group booking is defined as a reservation for 3 or more individuals travelling together on the same itinerary.
The group leader is responsible for all communications with Summer Honey Ltd and for ensuring that all group members are informed of the booking details and terms.
A single invoice will be issued for the group unless otherwise agreed.
Final group numbers must be confirmed no later than 45 days before departure. Changes after this date may incur additional charges or be subject to availability.
Group discounts, if applicable, are based on the final number of paying participants.
If the group size falls below the minimum required for group pricing, individual rates may apply or the booking may be subject to cancellation or re-quotation.
Summer Honey Ltd reserves the right to adjust itineraries or accommodation to suit group logistics and availability.

5. Adventure Activities
Adventure activities may include, but are not limited to: hiking, biking, water sports, wildlife encounters, and other outdoor or physically demanding experiences.
Participation in adventure activities is entirely voluntary and at your own risk.
You must disclose any medical conditions or physical limitations that may affect your ability to safely participate to Summer Honey LTD and to the activity provider.
Some activities may require a minimum level of fitness or experience. It is your responsibility to ensure you meet these requirements.
You may be required to sign a waiver or release form prior to participating in certain activities.
We strongly recommend that your travel insurance includes coverage for adventure activities, including emergency evacuation and medical treatment.
Summer Honey Ltd and its partners reserve the right to refuse participation to anyone deemed unfit or unsafe to join an activity.

6. Cancellation Policy

Cancellation by You

More than 120 days before departure: Loss of deposit only.
59-120 days before departure: 50% of total booking cost.
15–59 days before departure: 75% of total booking cost.
Less than 15 days before departure: 100% of total booking cost.
All cancellations must be made in writing and will be effective from the date received.
If you fail to attend or leave a tour early for any reason, no refund will be issued.
Group Bookings: Partial cancellations within a group may affect group pricing and may incur additional charges.
Adventure Activities: Some activities may be non-refundable once confirmed due to third-party supplier terms.
Bookings that include low cost or schedule Flights and/or cruises may incur different cancellation charges. Some accommodation providers may also require additional non-refundable deposits. This will be noted at the time of booking if any element is 100% non refundable.


Cancellation by Us (Summer Honey LTD)
If we cancel your trip due to unforeseen circumstances (e.g. natural disasters, political unrest, minimum group size not met – this is only applicable to TST x Summer Honey trips) you will be offered:
A full refund of all monies paid, or an alternative tour of equal value, subject to availability.
We are not liable for any incidental costs incurred (e.g. visas, vaccinations, travel insurance, or flights not booked through us).

Cancellation by Supplier
In the event that a third-party supplier cancels or is unable to deliver a specific element of your booking (e.g. accommodation, activity, transport), Summer Honey Ltd will:
Endeavour to offer a suitable alternative of equal or greater value.
Inform you of the change as soon as reasonably possible.
If no suitable alternative is available, a refund will be issued for the affected portion of the booking only.
We are not liable for any indirect losses or additional costs incurred due to the cancellation of a single element, unless caused by our negligence.

7. Travel Insurance
Comprehensive travel insurance is mandatory for all customers. It must cover medical expenses, cancellations, and personal belongings.
Proof of insurance may be required before departure.
Note: If the reason for your cancellation is covered under the terms of an insurance policy, you may be able to reclaim these charges.

8. Passports, Visas, and Health Requirements
You are responsible for ensuring that you meet all passport, visa, and health requirements for your destination.
We are not liable for any costs incurred due to failure to comply with entry requirements.

9. Changes by You
Requests to change your booking must be made in writing.
We will try to accommodate changes, but they may incur additional costs or be subject to availability.
We reserve the right to charge our own service or administration fee of £25 for any change in addition to those listed, if we do charge a fee, we will advise you of this at the time of requesting a change and this fee will form part of the aforementioned Non Refundable Administration Fees.
For group bookings, changes to individual participants must be communicated by the group leader.

10. Changes by Us
We reserve the right to make changes to your itinerary due to operational reasons, weather conditions, or supplier issues.
If changes are significant, we will inform you as soon as possible and offer suitable alternatives.

11. Liability
Summer Honey Ltd acts as an agent for third-party suppliers and is not liable for their acts or omissions.
We are not responsible for loss, injury, or damage sustained during your trip, except where caused by our negligence.
We are not liable for injuries or accidents that occur during adventure activities unless directly caused by our negligence.

12. Complaints
If you have a complaint during your trip, please inform the onsite representative, your tour leader if on a TST x Summer Honey Tour or contact us immediately so we can resolve the issue.
Formal complaints must be submitted in writing within 14 days of your return.

13. Data Protection
We collect and process personal data in accordance with UK GDPR regulations. Your information will only be used for booking and travel purposes. Please see privacy policy on our website for further information on how your date is used and collected.

14. Governing Law
These Terms and Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the English courts.

15. Force Majeure

Summer Honey Ltd shall not be liable or responsible for any failure to perform, or delay in performance of, any of our obligations under these Terms and Conditions that is caused by events outside our reasonable control (“Force Majeure”).

Force Majeure events include, but are not limited to:
Natural disasters (e.g. earthquakes, floods, hurricanes)
Extreme weather conditions
War, terrorism, civil unrest or political instability
Epidemics or pandemics
Industrial disputes or strikes
Government actions or travel restrictions
Failure of third-party suppliers due to Force Majeur
In the event of a Force Majeure:
We will make reasonable efforts to notify you as soon as possible.
We will attempt to offer alternative arrangements where feasible.
If the trip or part of the trip must be cancelled, we will refund any recoverable costs, but are not liable for non-refundable expenses or losses incurred.
Travel insurance is strongly recommended to cover such events.

16. Client Conduct and Behaviour

All clients are expected to conduct themselves in a respectful and considerate manner towards fellow travellers, staff, guides, and local communities. Disruptive, abusive, or illegal behaviour may result in removal from the tour without refund. Summer Honey Ltd reserves the right to refuse service or terminate participation if a client's behaviour compromises safety, enjoyment, or the well-being of others.

17. Missed Flights or Bookings

It is the responsibility of the client to ensure timely arrival for all flights, transfers, and scheduled activities. Summer Honey Ltd is not liable for missed flights, connections, or bookings due to client lateness, personal delays, or failure to follow instructions. Any additional costs incurred due to missed arrangements will be the sole responsibility of the client. We recommend allowing sufficient time for travel and checking in advance for any schedule changes.

18. Baggage Rules and Responsibilities

Clients are responsible for adhering to all baggage policies and restrictions imposed by airports and flight carriers. This includes limitations on size, weight, and prohibited items. Summer Honey Ltd is not liable for any fees, delays, or denied boarding resulting from non-compliance with baggage rules. Clients should consult their airline's baggage policy prior to travel and ensure all luggage is appropriately packed and labelled.

19.Children on Tours

Clients are responsible for assessing the suitability of the tour itinerary for any children in their party. Summer Honey Ltd does not provide child-specific supervision or services unless explicitly stated. It is the client’s duty to ensure that children are capable of participating in scheduled activities and that their needs are appropriately managed throughout the trip. Any additional arrangements required for children must be communicated and agreed upon in advance. Summer Honey Ltd reserves the right to refuse participation in certain activities if deemed unsuitable for children.
